Purpose: Assure compliance with data protection laws (e.g. GDPR) regarding personal data.

Content and Elements:

  • Personal Data Use: Explain that any personal information collected (names, emails, CVs) is used only for editorial and publication purposes.
  • Consent: State that by submitting, authors consent to this use.
  • Third-party Sharing: Affirm that data will not be shared with outside parties (except COPE or authorities if misconduct occurs).
  • Cookies: If collecting analytics, refer to a Cookies or Privacy Policy (as the site’s pop-up suggests).
  • Retention: Indicate how long data are retained (typically for archival record).

Sample Wording: “We respect your privacy. Personal data provided during submission (names, emails, etc.) are used solely for peer review and publication. We do not share this information with third parties without consent. By submitting, authors agree to our Privacy Policy.”
